Project Coordinator

This full time, non-exempt position coordinates and executes various administrative duties for project management as well as operations and will be assigned as an additional assistant on major projects, as needed.  The individual in this role will primarily be responsible for the following:

  • Prepares the filing folders and binders for a project. Maintains document organization for the entire team to include but not be limited to the drawings, correspondence, etc.  Sustains the project directory and distributes incoming correspondence to the intended recipient.
  • Facilitates and sets up the jobsite office and related functions (e.g., office supplies and equipment to include any organizational tasks and routine maintenance that may be needed in that regard, etc.)
  • Photographs the jobsite progress and organizes the documents according to the company’s processes and procedures.
  • Prepares weekly timecard payroll programming and transmits such to the accounting department (e.g. – daily roster entries, balance to source document, adds employees as required and coordinates codes) within the specified time interval.
  • Participates in the weekly jobsite safety inspections and incident reporting. Coordinates the processes and delivery of these reports per organizational specifications and standards.
  • Composes and/or edits written documents (e.g., letters, facsimiles, memorandums, etc.) in an effort to facilitate communication between the writer and the addressee(s). This role is responsible for accuracy and clarity of final copy and are prepared in alignment with organizational expectations.
  • Prepares special reports, studies and strategical analyses of project specific issues as requested by the project management team.
  • Performs other related duties and assignments as assigned and/or requested.

Required Education and Experience:

  • High school diploma or its equivalent.
  • At least three years of related administrative experience preferably gained while working in the construction industry.
  • Strong proficiency in MS Word and Excel.

Preferred Education and Experience:

  • Associates or bachelor’s degree in business administration or related field.
  • Proficiency in scheduling software.
